Fragmented systems prevented global maintenance visibility
Valmet's North American operations had evolved over time into a patchwork of disconnected maintenance tracking systems. Multiple MS Access programs operated independently at different sites, each with its own structure and limitations. Lotus Notes databases stored critical maintenance information but were difficult to access and share across teams. Manual offline tracking tools required constant updating and offered no real-time visibility.
As Valmet’s operations expanded globally, this fragmentation made it difficult to gain a shared overview of maintenance work, compare performance across sites, and build a reliable foundation for analytics, uptime optimisation, and future investment planning.
The goal was clear: create a common maintenance snapshot across North America — and ultimately across Valmet’s global operations.
A flexible CMMS configured for global operations
Valmet's seven North American Roll Service units implemented Pinja's maintenance management system to consolidate their fragmented tools into one unified platform. The implementation cycle was remarkably fast — less than one month — with most time spent locating, documenting, and updating data from legacy systems.
Each team member was able to utilize their own equipment lists in the system and practice creating preventative maintenance and down machine work orders. Particular attention was devoted to standardizing fault descriptions, urgency levels, and equipment classification to harmonize information across all global sites.
The maintenance solution provides a global view of equipment across Valmet, enabling analytics to maximize equipment uptime and inform future capital investments. The system is now available to all employees across all sites, replacing limited-access legacy tools.

With the shared maintenance management system in place, Valmet now tracks maintenance work consistently across units. Teams can see the scope of work performed, hours spent, machine downtime, and costs — all in one place.
Spare parts tracking provides visibility into common spares across sites, and costs can be assigned directly to maintenance work. This creates a holistic view of the true cost of operating equipment and supports more informed decisions around uptime optimisation and future capital investments.
